Highcastle Estates has a dedicated lettings team to meet your requirements, whether you are looking for a family home or a brand new apartment to rent. Our lettings consultants are fully trained to ensure that we can assist you at every stage of your tenancy. Our expertise of the London property market ensures we are perfectly positioned to find the right property for you at the best price.


We make sure each of our tenants receive an exceptional customer service, because we appreciate the importance of taking care of you. We’ll guide you through the process of renting a property and advise you of your legal responsibilities. You can speak to any of our consultants if you are hesitant about any part of the process. Highcastle Estates will do everything possible to make this process as smooth as possible as follows:

  • We register your details 
  • We go through your criteria, ensuring we know your perfect property.
  • We show you properties which suit your requirements and match your budget.
  • Once you’re happy and ready to place an offer, you pay a partial holding deposit to ensure we can put the offer forward to the landlord.
  • If the landlord accepts the offer, you can pay the remainder of the holding deposit and we can begin the referencing process.
  • If the landlord gets turned down, we will continue negotiating on your behalf.
  • If we do not come to an agreement with the landlord, the holding deposit will be returned to you.
  • We will check to see that you meet the affordability criteria along with proving you have right to rent in the UK.
  • Once we receive the referencing report, this will be forwarded to the landlord.
  • As soon as the landlord approves, we draw up the tenancy documents.
  • You will be required to pay the first months’ rent, the deposit and any administration fees minus the holding deposit already paid.
  • We ensure your deposit is protected, arrange an inventory & check in. 
  • We give you the new keys to your home once you are ready to move in!
  • We send you a tenancy package, let you know who is managing the property and give you relevant contact details including emergency phone numbers.

If we are managing the property, you will have a dedicated property manager assigned to you.

Depending on the desire of your landlord, we can have a large role in the maintenance of your property. This means you get to deal with our friendly, dedicated staff with any and all concerns. We’ll do our best to work with you should there be any problems or big changes in your life and finances to ensure everything is as smooth as possible.


Permitted Payments


For new tenancies, the following permitted payments may apply


Holding Deposit


This is a maximum of one weeks’ rent. This is a payment to reserve the property and is used as part of the initial move in monies for the property. Please note, this will be withheld if any relevant person (including guarantors) withdraw from the tenancy, provide materially significant false information regarding income, right to rent or credit check information.


Security Deposit


If the rent is under £50,000 per year, the maximum security deposit will be five weeks rent. This covers damages, defaults and breaches of tenancy on the part of the tenant during the tenancy.


If the rent is £50,000 per year over, the maximum security deposit will be six weeks’ rent. This covers damages, defaults and breaches of tenancy on the part of the tenant during the tenancy.


Unpaid Rent


Interest at 3% above the Bank of England Base Rate from Rent Due Date until paid in order to pursue non-payment of rent. Please Note: This will not be levied until the rent is more than 14 days in arrears


Lost Key(s) or other Security Device(s)


Tenants are liable to the actual cost of replacing any lost key(s) or other security device(s). If the loss results in locks needing to be changed, the actual costs of a locksmith, new lock and replacement keys for the tenant, landlord any other persons requiring keys will be charged to the tenant. If extra costs are incurred there will be a charge of £15 per hour (inc. VAT) for the time taken replacing lost key(s) or other security device(s).

Variation of Contract


£50 (inc. VAT) per agreed variation. (To cover the costs associated with taking landlord´s instructions as well as the preparation and execution of new legal documents)

Change of Sharer


£50 (inc. VAT) per replacement tenant or any reasonable costs incurred if higher. (To cover the costs associated with taking landlord´s instructions, new tenant referencing and Right-to-Rent checks, deposit registration as well as the preparation and execution of new legal documents.

Early Termination


Should the tenant wish to leave their contract early, they shall be liable to the landlord´s costs in re-letting the property as well as all rent due under the tenancy until the start date of the replacement tenancy. These costs will be no more than the maximum amount of rent outstanding on the tenancy.




The rent is payable to either the letting agent or the landlord as required by the payment schedule in the tenancy agreement. The payment details will also be on the tenancy agreement


Other Charges


During the tenancy, other payments are potentially applicable and payable to the provider, where required under a tenancy agreement. This includes payment in respect of utilities, communication services, TV licence and council tax.


For any current tenancies with Highcastle Estates that commenced prior to 1st June 2019 the following charges will apply under your tenancy agreement until 31st May 2020.


Check out fee: £139

Referencing fee: £25 per tenant

Change of occupant during tenancy: £199 per tenant

Tenancy extension fee: £149
